For a New Zealand wholesale distributor, the gap between a legacy ERP and daily operational reality usually shows up in the same places: bank submissions prepared outside the system, EDI orders reformatted by hand, reconciliation chased across spreadsheets, IRD reporting pieced together once a quarter. When those workarounds start adding up, the finance team spends more time maintaining the system than running the business. Closing that gap is what an Odoo implementation designed around New Zealand compliance actually delivers.
Our client, the New Zealand entity of a multi-entity global manufacturing group with 30+ subsidiaries worldwide, had reached that point. The business partnered with Havi Technology to rebuild its New Zealand operations on Odoo, delivering an Odoo implementation designed around local compliance realities instead of adding workarounds of its own.

About the Client
Our client is the New Zealand arm of a global manufacturing group that has been designing and producing specialist water and drainage equipment for more than six decades, with 30+ subsidiaries worldwide. Locally, they have served the New Zealand plumbing and building trade for two decades as a dedicated wholesale supplier.
Their business had grown steadily on the strength of that heritage. What had not kept pace was the operational platform underneath it.
The Challenges
The legacy platform had been in place for years, but the gap between what it could do and what New Zealand operations now required had been widening. Every part of the day-to-day cycle was starting to need workarounds, and the workarounds were starting to add up.
Key challenges included:
Their goals:
Bring the whole New Zealand operation onto one connected platform. Meet local banking, tax and trade requirements inside that platform, not around it. Give the finance team one auditable ledger and the operations team one place to work.
The Solutions: Rebuilding New Zealand Operations Inside Odoo
When we first mapped the NZ operation, every part of the trade cycle had a workaround attached to it. IRD reporting ran outside the platform. Bank submissions required a separate step. EDI orders arrived in formats the system could not read natively. Here is how we fixed each one, and why we made the design decisions we did.
Havi Technology worked with the team to design and rebuild the New Zealand operation on Odoo, tailoring the system to the realities of local wholesale distribution, from bank file requirements and head-office-and-branch customer structures to EDI workflows with major trade partners. The result is a connected operational flow rather than a collection of separate processes. An order received through EDI can move through invoicing, payment, GST and reconciliation within the same environment, reducing the need to move data between systems or rely on manual workarounds along the way.
The diagram below shows how these workstreams sit inside the connected Odoo environment.
Trade orders, customer accounts, supplier payments and supporting operations, rebuilt inside one Odoo environment.
Odoo Sales and B2BE EDI Integration - Trade Orders and Invoicing Without Daily Rework
Trade orders now come in through Odoo Sales via our Odoo and B2BE EDI integration, giving the sales team one place to receive trading-partner orders and return invoices through the same channel. Trading-partner data flows and message translation run through the integration, so orders land in Odoo Sales without external file preparation.
Custom Customer Structure in Odoo Accounting - Head-Office and Branch Reconciliation
For customer accounts, we tailored Odoo Accounting to a head-office-and-branch structure that matches how larger trade customers actually operate. The setup reflects how the business already manages its customer relationships, so the finance team stops rebuilding the same matching logic every cycle.
Odoo Accounting with TXT File Payments Extension - Supplier Payments and Tax Compliance in One System
Supplier payments and New Zealand tax compliance now run inside a single Odoo workflow, extended by our TXT file payments in Odoo integration. The extension adds the structured bank file formats New Zealand banking platforms require to Odoo’s native supplier payment workflow, with GST tracked through Odoo Accounting throughout the year.
Consolidated Odoo Setup for Supporting Operations - Inventory, Manufacturing and Expenses
Supporting operations, including inventory, kit assembly and expenses, run on the same Odoo platform as sales and accounting. We brought these together through Odoo Inventory, Odoo Manufacturing and Odoo Expenses, with role-based access set up through our Odoo user access rights module, keeping each team's view focused.
The Results
What changed day-to-day for the New Zealand business shows up most clearly in what the finance, sales, warehouse and operations teams no longer have to do.
The pattern of consolidation across finance, sales, warehouse and operations teams.
For a New Zealand wholesale distributor, the gap between what the ERP does and what the business needs usually shows up at month-end and in reconciliation. An Odoo implementation in New Zealand that closes that gap is one where the finance team stops carrying the system, and the system starts carrying the business.
This project confirmed something we have seen across NZ wholesale implementations. The compliance layer is where most ERP implementations either succeed or create lasting friction. Getting IRD, banking, and EDI right inside the platform from day one means the finance team never has to work around the system. That is the difference between an ERP that helps and one that creates a second job.
Running trade operations across local compliance, EDI partners, and multi-branch accounts is complex. We have built the system to handle it. Tell us about your operation, and we will show you what is possible.
